This Florida-based digital marketing agency had grown quickly on the back of client work—but their internal systems hadn’t kept up. Payroll and payouts were spread across ADP Run, Hubstaff, Wise, and Payoneer, with different processes for each group of workers. With a team of roughly 25 people across multiple locations and time zones, the founder was still in the weeds every cycle, stitching together hours, invoices, and approvals just to make sure everyone got paid. They knew they needed one central system where employees, contractors, and leaders could all see the same truth, follow the same rules, and stop depending on the founder to hold everything together.

Challenge

  • Four separate platforms for payroll and payments led to inefficiencies and errors

  • Migrated the full team—W-2 employees and global contractors—into Rippling, then safely decommissioned ADP Run, Hubstaff, Wise, and Payoneer.
  • Designed a standardized onboarding workflow so every new hire, regardless of classification or location, moves through the same clear steps from invite to first paycheck.
  • Built a new employee handbook and embedded key policies (PTO, time off, expectations for time tracking and submissions) directly into Rippling so people actually see and acknowledge them.
  • Trained the agency’s newly hired accounting specialist on the end-to-end process in Rippling—time tracking, approvals, payroll runs, and exception handling—so ownership moved off the founder and into an internal role with real structure.

Result

Payroll is no longer a multi-tool fire drill. In under 45 days the agency now runs payroll, contractor payments, time tracking, and PTO from a single login in Rippling. The new accounting specialist manages the process using documented workflows, while the founder only steps in for true exceptions—instead of hand-holding each run. Contractors and employees follow the same clear rules for time and submissions, which means fewer surprises, cleaner records, and a predictable payroll rhythm. With tool sprawl eliminated and processes standardized, leadership has gained back hours each month to focus on revenue and delivery instead of chasing admin work.
